Health And Safety Policy

Gardeners Mortlake Health and Safety Policy

This Health and Safety Policy sets out the principles and procedures that Gardeners Mortlake follows to protect the health, safety and welfare of employees, clients, visitors, contractors and members of the public who may be affected by our gardening and grounds maintenance activities.

Our work involves the regular use of tools, machinery, chemicals and vehicles in outdoor environments. We are committed to managing these activities responsibly, controlling risks as far as reasonably practicable, and fostering a culture in which safety is an integral part of everyday work.

Policy Statement and Objectives

Gardeners Mortlake is committed to:

Promoting a safe and healthy working environment for all workers engaged in our gardening services.
Identifying, assessing and controlling risks associated with gardening tasks, machinery, transport and the use of substances.
Preventing accidents, injuries and work-related ill health through effective planning, supervision and continuous improvement.
Complying with all applicable health and safety legislation, codes of practice and recognised industry standards.
Providing suitable information, instruction, training and supervision so employees are competent to perform their duties safely.
Consulting with employees on health and safety issues and encouraging the reporting of hazards, near misses and incidents.

This policy is reviewed regularly and updated whenever there are significant changes to legislation, work activities, equipment or organisational structure.

Responsibilities for Health and Safety

The overall responsibility for health and safety rests with the management of Gardeners Mortlake. Management will ensure that appropriate resources are made available to implement this policy and that safe systems of work are developed and maintained.

Supervisors and team leaders are responsible for day-to-day health and safety control on site, including delivering task-specific briefings, checking equipment condition, enforcing safe working practices and stopping work where there is an immediate risk.

All employees and contractors working on behalf of Gardeners Mortlake have a duty to:

Take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions.
Follow all safe systems of work, risk assessments, method statements and instructions given by supervisors.
Use machinery, vehicles, tools, personal protective equipment and chemicals only as trained and authorised.
Report hazards, unsafe conditions, defects, near misses and incidents without delay so appropriate action can be taken.
Cooperate with any investigation, health and safety inspection or monitoring activity.

Risk Assessment and Safe Systems of Work

Before carrying out gardening work, suitable and sufficient risk assessments will be completed or reviewed to identify hazards and determine appropriate control measures. These include, but are not limited to:

Use of powered machinery such as mowers, trimmers, chainsaws and blowers.
Manual handling of soil, waste, plants, aggregates and equipment.
Working at height, including use of ladders, access equipment and tree work.
Use, storage and disposal of fertilisers, weed killers and other horticultural substances.
Exposure to noise, vibration, dust, sharp objects and biological hazards such as insects and plants that may cause allergies or irritation.
Vehicle movements, loading and unloading, and work near roads or driveways.

From these assessments, method statements and safe systems of work will be developed and communicated to staff. Site-specific risks will be reviewed on arrival, and work will only proceed when conditions are safe and controls are in place.

Training, Competence and Supervision

Gardeners Mortlake will provide appropriate induction and ongoing training so that employees are competent to carry out garden maintenance and landscaping tasks safely. This may include:

General health and safety awareness and company procedures.
Safe operation of machinery and tools, including any required certifications for specialist equipment.
Manual handling techniques to reduce the risk of musculoskeletal injury.
Safe storage, handling and application of horticultural chemicals and fuels.
Use, inspection and maintenance of personal protective equipment.
Emergency procedures, incident reporting and first aid arrangements.

New or inexperienced staff will be closely supervised until they can demonstrate safe working practices. Refresher training will be provided where necessary, for example when new equipment is introduced or procedures change.

Equipment, Vehicles and Personal Protective Equipment

All work equipment and vehicles used by Gardeners Mortlake will be selected, maintained and inspected to ensure they are safe and suitable for their intended use. Defective or damaged items must not be used and will be reported immediately for repair or replacement.

Appropriate personal protective equipment, such as safety boots, gloves, eye and hearing protection, high visibility clothing and respiratory protection where required, will be provided and must be worn as specified. Employees must take reasonable care of any equipment issued to them and report loss or damage promptly.

Control of Substances and Environmental Considerations

Chemicals and other hazardous substances used in gardening work will be controlled in accordance with relevant regulations. Safety data information will be obtained, and assessments will be completed to determine safe handling, storage, mixing, application and disposal procedures.

Gardeners Mortlake will also seek to minimise environmental impact by avoiding unnecessary use of chemicals, preventing contamination of soil and water, managing green waste responsibly and working considerately within residential and commercial outdoor spaces.

Accident Reporting, Emergencies and First Aid

All accidents, near misses, property damage and unsafe conditions must be reported as soon as possible to a supervisor or manager. Incidents will be recorded, investigated and reviewed to identify root causes and prevent recurrence.

Suitable first aid arrangements will be in place for gardening teams, including access to first aid kits and trained personnel. Emergency procedures, such as actions in case of serious injury, fire, fuel spills or exposure to chemicals, will be communicated to staff and followed without delay.

Monitoring, Review and Continuous Improvement

Gardeners Mortlake will monitor health and safety performance through inspections, incident data, employee feedback and review of working practices. Findings will be used to improve systems, update risk assessments and provide further training where necessary.

This Health and Safety Policy will be reviewed periodically to ensure it remains effective, relevant and aligned with current legislation and the nature of our gardening services.
